Application process step by step
- Once you have filled out the application form on shadow.doctorsinitaly.com indicating your preferred city and starting date, our staff will review your application and, if your application is accepted, will contact you for an online interview.
- If you are selected to participate after the interview, you will receive a confirmation email, with additional information on the program, program dates, and a link for online payment of the deposit fee. The non-refundable deposit fee to start the process and reserve your slot is €300. The deposit fee is included in the total price. Failure to pay the deposit fee within the required deadline may result in the loss of the approval of the requested dates. Please be aware that dates are sometimes subject to changes even after confirmation has been sent. Please note that upon paying the deposit fee, you agree to be bound by these terms and conditions.
- At this point, you may apply for a scholarship, if eligible. Please see the website for criteria and instructions on how to apply via email. Other financial aid options and scholarships through your University may have different application procedures and deadlines. We encourage you to verify as soon as possible what your options are.
- Your Doctors in Italy student coordinator will be in touch closer to the arrival date (approx 6 weeks before) to complete documentation requirements, including signing a copy of this contract (to which you have agreed and accepted upon paying the deposit fee), and obtaining a copy of passport and immunization records. They will also coordinate your pre-departure procedures, orientation and assistance.
- By 90 days prior to departure, you will complete the payment in full for the program, or 60 days prior if you are paying installments. You will obtain a payment link via email prior to the due date. If you wish to request up to 3 installment payments, contact our admissions team.
- Then we’ll be expecting you! We look forward to meeting you in Italy at the start of your program.
WITHDRAWAL, CANCELLATION, EARLY TERMINATION, DEFERRAL AND CHANGES POLICY
Prior to your official acceptance, please refrain from booking flights for your program. Doctors in Italy is not responsible for anything in relation to your airfare under any circumstances as a part of your participation in the program. The deposit is non-refundable. Alternative payment arrangements (financial aid, payment plans, etc.) do not exempt students from this policy. You should read these terms and conditions carefully before you pay your deposit, as you will be bound by these terms and conditions once your deposit is paid.
Students will be required to submit full payment by 90 days prior to the program start date, or 60 days if paying in installments. Final paperwork and documentation must be completed 30 days prior to the commencement of the program. Students who have not paid in full or submitted the documents by the final due dates will not be admitted to
the program. Signing and returning all documents is your responsibility. If you fail to return the documents after repeated notification (email or call), you will be deemed withdrawn and will not be eligible for any refund. It is the participant’s responsibility to arrive on the starting date. Changes, delays, or other issues leading to a delayed arrival, will not grant any form of refund from Doctors in Italy FP. Doctors in Italy is not responsible for any charges incurred in relation to these changes and delays.
WITHDRAWAL AND CANCELLATION:
You can withdraw from the program, by communicating your decision in writing to Doctors in Italy FP. Withdrawal is allowed at no charge, with the exclusion of the non-refundable deposit fee, up to 3 months before the starting date (e.g. if your program starts on July 15th, your latest withdrawal date without a fee would be April 15th). If you decide to withdraw after this date, and you will be liable for the following schedule of cancelation charges:
1. up to 3 months before starting date: full refund
2. from 3 months to 2 months before start date: cancellation fee: €2500 or 30% of the total*
3. from 2 months to 1 month before start date: cancellation fee: €3750 or 60% of the total*
4. less than 1 month before start date: no refund
*the higher of the two values applies
This policy applies to all cancellations, regardless of the reason for withdrawal. A request to withdraw and receive a refund if applicable (minus the deposit), must be made in writing, confirming your name, the program you are enrolled into, and your intention to withdraw, sent via email to: shadow@doctorsinitaly.com
EARLY TERMINATION:
If a student decides to terminate their program before its completion, no refund will be granted under any circumstances, regardless of the reason. A request to terminate early, must be made in writing, confirming your name, the program you are enrolled into, and your intention to terminate, sent via email to: shadow@doctorsinitaly.com
DEFERRAL:
Up to 2 months before the starting date, students may choose to defer their participation to a future date. In this case, no refunds will be warranted, but the payment will count toward the student’s participation in a future program. Deferring to a future program doesn’t change the original schedule for withdrawal and refund, therefore any subsequent decision to withdraw will be subject to the withdrawal terms above. Any requests to defer after 2 months before the start date will be subject to a determined fee. The program will have already borne costs, such as housing, for your participation in the program you were enrolled in, and these costs will not be able to be recuperated by Doctors in Italy, therefore you are liable for these fees. A request to defer, must be made in writing, confirming your name, the program you are enrolled into, and your intention to defer, sent via email to: shadow@doctorsinitaly.com. If it is after 2 months before the arrival date and there are fees to pay, the admissions team will notify you of those fees at this point.
CHANGES:
Doctors in Italy FP reserves the right to adjust program dates and locations to accommodate unforeseen changes at any point, and is not responsible for airline fare or ticket change fees incurred by program participants. We recommend you obtain airfare that is flexible and can be changed without a fee. In the event of total program cancellation, Terra Clinica Institute SRL will make every effort to find a suitable alternative,
applying the following order when offering students alternative placement:
1. Defer: Same program, different starting date
2. Change: Different program, different starting date
3. Refund: If no other alternative is suitable, fees will be refunded. If none of the proposed options is available or suitable for the student, Terra Clinica Institute SRL will proceed to refund the fees paid by the student, except for the €300 non-refundable deposit. If the program is terminated before completion of at least 70% of the scheduled activities, virtual options will be provided in the form of seminars and virtual mentor-office-hours dedicated to participants.
VISA AND PASSPORT REQUIREMENTS
All participants must be above 18 years of age and must have a valid passport. Securing a passport is the responsibility of the participant. Be aware that you must have a passport valid for at least six months after your program’s end date in order to enter the country. Should you not be able to enter the country due to issues with your passport, you will not be subject to any special refund, and the standard withdrawal and cancellation policy will apply. You are responsible to inform yourself if you need a visa to travel to Italy and you are responsible for obtaining this visa. The application process for a visa varies by country, but you will likely be applying for a tourist visa as you are not coming to Italy to work, or to study (be enrolled in a university). Applying for a visa is a lengthy process, so allow enough time for processing your visa application. You should apply for your visa 45-120 days prior to departure. If your consulate is requesting documentation from us to support your visa, you must submit a formal request for these documents via email, sending as much explanatory information as possible in regards to what they are asking for, to shadow@doctorsinitaly.com. Most foreign consulates are located in big cities, and in many instances travel is required to obtain visas from the consular office in person in your area of residence. Processing and visa fees vary, and most are non-refundable. Rules and regulations for visas are constantly changing. Each consulate functions independently and makes its own rules, deadlines and policies. You should contact your consulate to request a visa application, list of requirements and to verify the application process and timetable. In most cases your passport will physically remain at the consulate until your visa is approved; therefore, if you have NOT applied for a passport, please apply early to avoid problems. Terra Clinica Institute SRL has no power to intervene on behalf of participants who do not obtain a visa or who are denied a visa. Participants who are unable to secure a visa will not be subject to any special refund, and the standard withdrawal and cancellation policy will apply. Program payment due dates are to be respected, regardless of if you are waiting on notification of your visa approval. Failure to make your payments will result in the removal of your enrollment from the program.
CODE OF CONDUCT
While abroad, you are not only representing your home country, but Terra Clinica Institute SRL as well. For this reason, we expect all participants to behave in a legal manner that is respectful of other people, customs, and property. As a participant, you are responsible for researching and understanding issues that relate to Italy’s laws, as well as the safety, health, political, and cultural conditions of the country. While enrolled in a Terra Clinica Institute SRL program, it is expected that participants will abide by the following code of conduct. Violation of this code will be met with appropriate disciplinary action, including
and not limited to dismissal from the program.
Shadowing Conduct Policy
Behavior:
Your behavior while shadowing must be composed and considerate. Students are expected to follow all of the medical professional’s instructions. Do not take initiative and remember that you are there to learn and observe. Show respect and compassion to the patients, considering their difficult circumstances and the delicate nature of the patient-doctor relationship. Both the doctor and the patient can choose when it is not appropriate for you to participate in a consultation or procedure, you understand that this is an important right of both the patient and the medical staff and you agree to abide by their request without any objections. You will be shadowing in a real-life setting which requires you to act professionally and follow all safety precautions at all times. In this real-life setting, doctors may prefer to or need to speak Italian; you are there to observe so you should take note of your questions and ask them at an appropriate time if you can’t at that moment. You should introduce yourself to staff and patients and be respectful, polite and engaged, always remembering that you are a guest in this setting. You may encounter doctors who do not know where you are from or what your role is, in which case you should present yourself and show your Doctors in Italy badge that clearly explains in English and Italian that you are an observational shadowing fellow. Your badge must be worn at all times during the shadowing. In case of doubts on what is appropriate, always ask your group coordinators, or your program mentors.
Attendance:
Shadowing is mandatory. Should you not be able to attend shadowing for any reason, you must notify your student coordinator as soon as possible. Should you miss 2 days of shadowing in a row, without notifying your student coordinator, you will not be scheduled for any future shadowing sessions. Should you miss more than 2 days of shadowing in a row, you will need to obtain a medical certificate, which can be done through our Doctors in Italy platform at your expense. Note that your attendance on your certificate is based on 5 shadowing hours per day, minus any days missed. If you have a valid medical certificate, we may consider adding the hours for missed days due to illness, but this is not guaranteed. If you are late for the meeting point to depart for the shadowing in the morning more than 5 minutes, the student coordinator will leave without you. It is your responsibility to then get yourself to the shadowing on your own and at your expense. Please note that notifying of your attendance, and being punctual, applies to all activities on the program and not just shadowing, including dinners, cultural activities and excursions.
Scheduling:
The schedule for the clinical rotations cannot be provided in advance as it is issued to Doctors in Italy by each establishment only a few days prior to each week of shadowing. Once it has been received by Doctors in Italy, your student coordinator will communicate the schedule to you. Your schedule is fixed and cannot be changed once it has been established by the hospital or clinic. Your department preferences are forwarded to the hospital in advance, but note that there is no guarantee under any circumstances that you will be placed in one of your preferences as we cannot control the availability of departments, or that you will be observing surgical procedures.
Behavior Policy:
While in a foreign country, a foreign citizen is subject to that country’s laws and regulations. That country may not afford the protections available under your home country’s law. Any student convicted of a crime abroad can expect incarceration and/or fines. Terra Clinica Institute SRL will not assist in legal matters caused by a participant’s inappropriate behavior, and/or use of alcohol or drugs. Violation of any of the following may result in disciplinary action from Terra Clinica Institute SRL:

- Falsification of documents or personal records submitted to Terra Clinica Institute SRL as part of the application
- Any inappropriate conduct including but not limited to violation of any Terra Clinica Institute SRL policies.
Housing Policy:
By participating in the program, Terra Clinica Institute SRL participants agree to be subject to the policies, rules and regulations of the accommodation arranged by Terra Clinica Institute SRL. All housing disputes will be settled according to the housing policies at the program location. Terra Clinica Institute SRL guarantees to arrange housing for participants, however it is impossible to guarantee particular housing placements, options, room arrangements, or locations, as this is subject to availability. If a student is not satisfied with housing arrangements, the local staff will help find an alternative. Any costs arising from these arrangements will be covered by the student. Should any charges be requested by the housing partner as a result of an incident, breakage and/or damage, the student/s responsible will be subject to the costs incurred.
Alcohol and Drug Use Policy:
Participants who choose to drink alcohol are responsible for their actions at all times. Excessive drinking may be grounds for dismissal as it can affect the safety of the group and/or the individual. Intoxicated participants will not be allowed to participate on any Terra Clinica Institute SRL excursion or activity, and will not receive a refund for the missed excursion or activity. The use, sale, or possession of drugs by participants is strictly prohibited and will result in disciplinary action, up to and including dismissal from the program. Any violation of the alcohol and drug policy will be taken seriously by Terra Clinica Institute SRL and the participant will be appropriately disciplined.
Disciplinary Action: Terra Clinica Institute SRL staff will have an investigation and/or review before taking disciplinary action. Please note: If a participant engages in violent and/or abusive or aggressive behavior towards any member of the Terra Clinica Institute SRL
staff, host partners, or other Terra Clinica Institute SRL participants they will be immediately removed from the program.
Disciplinary action may include but is not limited to any of the following:
- Notification: Terra Clinica Institute SRL may notify the participant’s home university and/or parent or legal guardian of any violation of Terra Clinica Institute SRL policies.
- Restitution: Participant may be required to pay for damages or theft.
- Loss of privileges: Participant may be denied permission to participate in Terra Clinica Institute SRL activities, excursions, etc. permanently, or for a designated time period. No refund will be given for missed activities.
- Housing termination: Terra Clinica Institute SRL has the authority to remove any participant from their residence and/or the program in the case of inappropriate behavior. If this occurs, the participant must then find his/her own housing at his/her own expense. No refunds for housing payments will be given.
- Probation and Suspension: Participant may be given disciplinary probation in the case of inappropriate behavior. Any further violation during probation will result in dismissal.
- Dismissal: Participant may be permanently expelled from the Terra Clinica Institute SRL program. The dismissed participant will not receive a refund of any kind. Termination of program participation does not diminish or otherwise affect the participant’s obligation to make any and all payments to Terra Clinica Institute SRL. The dismissed participant will not receive any certification for participation in the program. The dismissed participant may be required to reimburse Terra Clinica Institute SRL or his/her home university for any financial aid received. The home university may take appropriate action in response to dismissal, such as denying registration, suspension or dismissal from the home university.
Code of Conduct Violation:
The Doctors in Italy Fellowship Program Manager, together with the on-site Program Coordinators, will determine the seriousness of the offence and issue the appropriate warning to the participant, and inform the participant’s Home University and parent or legal guardian.

- I understand that I am responsible for obtaining any recommended immunizations before traveling to my destination. During my participation in the fellowship, I will carry valid and current medical insurance provided through the program. I have reviewed my coverage and have determined that this insurance is adequate to cover injuries or illnesses that I may sustain while participating in the fellowship.
- I agree to hold Terra Clinica Institute SRL harmless from any and all claims including any legal costs, attorney’s fees, fines or other expenses associated with any legal proceeding I may be involved in as a result of my participation in this Program, including travel to, from and during the Program, be they civil or criminal in nature. I also understand that Terra Clinica Institute SRL is not responsible for obtaining or locating legal counsel for me and I will have to make any such arrangements myself. If Terra Clinica Institute SRL incurs any of these types of expenses, I agree to reimburse Terra Clinica Institute SRL.
- I will comply with Terra Clinica Institute SRL’s and the medical hosting institution’s rules, standards and instructions for participant behavior. I understand that failure to do so may result in my expulsion from the program.
